* Employee surveys – 2015 update on data collection
The significant & important aspects of our bespoke employee surveys are:
- Survey design – question specification & biographic criteria.
- In order to deliver sophisticated data analysis & data interpretation.
These are where we spend most of the time & add the value. - Data collection – what is seen on the survey website & the unseen underlying database – is essentially a mechanism. Although it does have to be robust.
Until late 2014 we authored survey websites from scratch and hosted them on our ISP services. The software we used ceased to be supported by Microsoft. They have not introduced a replacement and the absence of support (updating for vulnerabilities) became a concern.
There were other developing considerations. 5 – 10 years ago a typical survey would be:
- 20% hardcopy, 80% Internet
- 95+% Internet access using Internet Explorer
- Access hardware (“device”) was 95+% laptop/desktop using a sizeable screen running on Windows XP or Vista or 7.
The digital world has changed rapidly. We are now looking at survey data collected through anything from 3.5″ smart phone to 25″ monitor, with underlying substantial differences in screen resolutions. Depending on the survey demographics 30% (or often more) responses are from smartphones & tablets. Users use click, tap or swipe. Operating systems include IE, iOS, Android. Each with numerous generations. Blackberries have caused us plenty of problems. Many survey contributors are using Chrome rather than IE.
Consider a drop-down menu accessed by mouse on a large flat-screen which looks splendid – but not so good on a touchscreen smartphone. This left us with some technical challenges.
Additionally incremental security requirements has lead to some clients wanting survey data transmitted through an encrypted process.
After much investigation, from 2015 onwards we have elected to manage data collection through a 3rd party Cloud survey platform service – Research.net. This is owned & was developed by the world’s largest survey data collection host, SurveyMonkey. It is commonly used by major European enterprises & government agencies. This decision addresses all our concerns & requirements and more.
From 2015 it means that each specific client survey URL will be in the format research.net/yoursurveyname. We provide the option (for instance where a client survey is being run in several variations) of having a “welcome” page on one of our own websites with hyperlinks to the specific data collection site. To protect the compatibility across so many devices, screen sizes, operating systems, browsers, we are now using validated page formatting that is sometimes not as flexible as the “old way”.
Confidentiality is secured through encrypted data & encrypted data transmission.Only we can access your encrypted data on the server. The primary data centre processing the data is in the USA. Although we do not believe employee survey information that we collect is covered by Data Protection (there is no information that would identify an individual), in the light of the ECJ October 2015 decision concerning Safe Harbour we have entered into a specific confidentiality agreement with the providers of the Research.net service which goes beyond Safe Harbour & we believe to be fully compliant with the ECJ ruling.
